Standard Operation Procedures “(SOP)” for New Normal Practices


Timberwell Berhad “(TWB or Company)” has resumed physical office operation on Monday, 11 May 2020 following the announcement of Sabah State Minister on Friday, 8 May 2020.

We are resuming our business operations with strict adherence to the SOP guidelines set by government during the Conditional Movement Control Order “(CMCO)”.

There will be new normal practices including mandatory daily temperature checks, face masks usage, sanitising of workplace, social distancing etc. in the office workplace at all time.

For working arrangement, our staffs will be working on a rotational basis. For staff who are in the office, strict social distancing rules and proper personal hygiene apply.

The health and safety of all our staffs and stakeholders remain to be our priorities and with the SOP guidelines put in place, we hope that the transitional period to the new normal is adopted with ease.


Personal protective basic


Face Masks (Surgical mask) Put on the face masks at all time. Make sure the nose and mouth are fully covered.

Hand Sanitiser (Ground Floor) Ensure frequent hand hygiene with soap and water or alcohol-based hand rub before entering and leaving the room and office at all time.

Hand Sanitiser are available at the entrance of the office building
2nd Floor (Chlorhex 0.5% in 70% alcohol) Placed Hand Sanitiser at the following common areas for easy access: -

1. At the entrance of the office,
2. In front of the Conference Room, and
3. In front of the Photocopy Room and Pantry
Gloves (For Cleaner only) Ensure the cleaner put on Gloves before carry out the disinfection cleaning on a daily basis.

Social distancing rules


Social distancing (Safe distancing of 1 meter between each other) Strictly observe and apply social distancing of 1 meter with each other at all time.

Temperature Check (Ground Floor & 2nd Floor)


Daily Temperature Check (Conducted by the Police Bantuan at the entrance of the office building located at the ground floor) Ensure daily temperature check at the entrance of the office building.

In the event, if your temperature as high as 37.5° Celsius or more, you are not allowed to enter the building and office. You should notify your superior immediately and proceed direct to the nearest Klinik Kesihatan to consult doctor.
2nd Floor 2nd temperature check at the entrance of the office located at the 2nd Floor and maintain a record of the staff temperature for monitoring purposes.

Stairs or Lifts


Stairs (2nd Floor) Use the stairs if possible and apply social distancing at all time, limit touching stair holder, sanitise your hands before and after entering and leaving stairway
Lifts - 3 units(2nd Floor) At any one time, maximum 4 persons allow in the lift, with masks on, and all facing different directions in the lift, limit touching lift button, sanitise your hands before getting in and out of lift.

Post instruction signs at the entrance of the lifts for effective references.

Visitor’s log book


Visitor’s log book (Maintain a visitor’s log book at the entrance of the office) For good administrative practices, a visitor’s log book will be maintain to record the visitor full name, I/C No. and contact details and date of visit for future references.

Post signs at the entrance instructing not to visit if they have symptoms of infection.

Windows and Door (Back)


Open Windows and Door (Back) Open Windows and Door to ensure the office is well ventilated during office hours.

Social distancing rules for all the office spaces:


Open Office ( 9 work stations ) Strictly observe and apply social distancing of 1 meter with each other at all times.

No desk sharing and any social event in the office. If possible, confine communication to work related only
Pantry (Maximum 2 persons) Staffs should bring packed food and eat at your work station.

Limit frequency use of boiler, rice cooker and microwave if possible, sanitise your hands before and after use of those equipment.

At any one time, maximum 2 persons allow in the pantry and strictly observe and apply social distancing rules
Photocopy Room (Maximum 2 persons) Limit frequency use of photocopy machines and printers if possible, sanitise your hands before and after use of those equipment.

At any one time, maximum 2 persons allow in the photocopy room with strictly observe and apply social distancing rules.
Individual Room (Maximum 2 persons) At any one time, maximum 2 persons allow in the individual room with strictly observe and apply social distancing rules.

Proceed to conference room for any discussion or meeting involve more than 2 persons.
Conference Room (Maximum 6 persons) At any one time, maximum 6 persons allow in the Conference room with strictly observe and apply social distancing rules.

Limit frequency use of projector and equipment if possible, sanitise your hands before and after use of those equipment.

Conduct or perform virtual meeting or training for event involve more than 6 persons
Toilets (Maximum 4 persons) At any one time, maximum 4 persons allow in the toilets with strictly observe and apply social distancing rules.

Wash your hands with soap and water before leaving the toilets.

Cleaning routine


Common office areas, commonly used items and equipments Clean and disinfect all frequently touched and commonly used surfaces in the office such as door holders, pantry table, chairs, water boiler, microwave, rice cooker, photocopy machines, printers and etc.

Placed RED colour stickers to identify those commonly used items and equipments.

A check list has been prepared as per APPENDIX C to monitor the daily cleaning routine for the common areas, commonly used items and equipments.
Individual work station Individual work station should be regularly clean by individual themselves for the safety of your own health

Transportation


Public transport or Carpooling CStaffs using public transport such as bus or carpooling to commute to and back from work must wear a mask and avoid touching your face, please keep distance from other passengers, limit touching surfaces, sanitise your hands before getting-on-board and upon disembarking.

Carpooling need to keep to the same group all the time and maximum 4 persons in a car.
Company Motor Vehicles Staffs who process with company motor vehicle must ensure cleanness and hygiene of the motor vehicle at all time.

Maximum 4 persons in a car at any one time.

Minimise the risk of virus transmission to yourself and family


Individual Everyone should behave, responsibly, maintain vigilance and strict discipline to themselves over the new normal practices to minimise the risk of getting the COVID- 19 virus and spreading it to your family and office work mates.
Family After office when you reach home avoid interacting with any of your family members or touching surfaces. Soak your clothes worn to the work place in soap and water and have a shower immediately. This will reduce the risk to your loved ones.
